Volunteer Descriptions

Listed below are descriptions of various jobs that need to be performed at each swim meet. Six shifts per family is the volunteer requirement. The start time of each position may vary. Parents pick their volunteer shifts using SwimTopia. 

The first six positions listed below require certification by GRAL and are restricted for signup. This includes attending a training session, shadowing someone in this position during a meet, and passing a written examination. 

  • Referee: The Referee is responsible for ensuring that the meet is conducted in accordance with US swimming rules and regulations. He/She will oversee the functions of the starter, strokes and turns judges, clerk of course, table workers, computer operator and scorers. The Referee is responsible for resolving any conflicts that arise during the meet and has the final say in matters of judgment.
  • Starter: The Starter calls the swimmers to the blocks and begins each heat by conducting a fair start using an electronic starting beeper/light. 
  • Strokes & Turns Judges: These officials monitor the swimmers during the meet to ensure that they use legal strokes and turns while competing. 
  • Head Clerk of the Course: This official is responsible for placing swimmers in heats and for providing oversight for organizing swimmers on the benches and moving them to the start blocks at the appropriate time. The clerk of course duties require several people working together. 
  • Computer Chairperson - Home meets only This person is responsible for all computer entries before, during and after the meet, working with other computer volunteers. GRAL Computer training required. 
  • Head Tableworker – Home meets only The Head Tableworker oversees the Tableworkers’ task of scoring the meet, tabulating the results and preparing meet ribbons for the swimmers.

GRAL Training not required for the following positions: 

  • Time Card Reader – Away meets only Computer workers assist the Computer Chairperson by reading timing cards, monitoring the printer and assuring good communication between the other officials of the meet. No training required. 
  • Tableworkers -  Tableworkers work with the Head Tableworker to sort time and DQ cards, identify official swim times and label ribbons. 
  • Announcer – Home meets only Using a PA system, the Announcer makes a variety of announcements during the meet such as calling swimmers to the clerk of course, announcing the swim meet scores, announcing the names of the swim team's corporate sponsors and making any announcements about weather delays.
  • Concessions/Hospitality – Home meets only These individuals assist in the sale and preparation of food and drink to be sold at the meet. They also deliver water to meet workers. 
  • Head Timer  - The Head Timer is responsible for making sure that there are 3 timers assigned per lane, from both Fox Hall and the opposing team. He/she holds a timer meeting prior to the start of the meet and provides instructions and distributes equipment. The Head Timer also runs extra stopwatches in the event of a stopwatch failure. After the meet, the Head Timer collects all of the Timer’s equipment. 
  • Timers  - Using heat and lane information given to them by the Computer Chair, Timers should first verify swimmers' names then record swim times for each swimmer in their assigned lane using the stopwatches provided. 
  • Runners -  Runners collect time cards from the Timers and deliver them to the Tableworkers. They also collect DQ cards from the Strokes and Turns Judges and deliver them to the Referee, then to the Tableworkers. They will also hand out waters to timers and meet officials. 
  • Floater - Floaters will be asked to be back up should another volunteer not be able to fulfill their shift. Floaters may be asked to be any non-certified volunteer role (timer, table worker, concessions worker, assist the clerk of course, etc.) Should a Floater not be needed, then they are asked to help with handing out waters or back up concessions should it get busy. 
  • Set-Up Workers – Home meets only These workers set up the equipment for the meets, including benches, concessions, start blocks and roping.

~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~ Clean-Up Workers In addition to volunteer hours, all families will be required to assist with clean up duty for one home meet each season. Workers will stay after the meet has ended to clean up the pool area, put the equipment back into storage and restore the pool area to a pre-meet condition. (End of Meet)
